Position Summary:

The University of Wisconsin Oshkosh is the only Universities of Wisconsin institution that operates a
year-round residential conference center, providing short-term lodging for groups hosting special events
and conferences on campus, and contract housing for Fox Valley Technical College students, interns
working for local companies, and UW Oshkosh graduate students, faculty, and staff.

During the summer months, Residence Life serves the lodging needs of approximately 9,000 guests
through a robust summer conference program: UW Oshkosh PreCollege youth programs, UW Oshkosh
Athletics-sponsored youth camps, American Legion Auxiliary Badger Girls State Government &
Leadership Conference, and EAA AirVenture Oshkosh.
The Residence Life Manager of Conference Services, under the supervision of the Director of Residence
Life, will work closely with the UW Oshkosh Office of Events & Conference Services, community and
campus partners, clients, and Residence Life staff to manage the Residence Life Conference Services
operation.

Some nights, weekends, and holidays will be required.

Responsibilities

Management of Residence Life Conference Services (85%)

  • Coordinate all Residence Life conference services efforts, working directly with the University’s Office of Events and Conference Services.
  • Manage year-round Gruenhagen Conference Center operations, including contract management, special event group lodging, guest safety and security, desk operations, and facilities management. Directly supervise a graduate student and several student employees year-round.
  • Coordinate the use of all housing facilities for summer camps, conferences, and intern lodging. Directly supervise Residence Hall Directors, Assistant Residence Hall Directors, and Conference Assistants (student employees) during summer months.
  • Manage all components of the on-campus housing program available to annual Experimental Aircraft Association (EAA) AirVenture Oshkosh airshow participants.
  • Oversee and coordinate the annual Oshkosh Placement Exchange (OPE), a nationally known and recognized higher education job placement conference in the field of student affairs.
  • Identify new ways to more efficiently and effectively workflow reservation, payment, and lodging placement for EAA and OPE.
  • Utilize Seattle Technology Conference Planner (Iris) for space reservation, schedule coordination, site management, event planning, and invoicing. Maintain Iris database and serve as the liaison to Seattle Technology Group.
  • Collaborate with an array of campus partners, including but not limited to Facilities Management, Information Technology, Athletics, and Undergraduate Admissions.
  • Maintain and deepen relationships with community partners such as but not limited to the Oshkosh Convention & Visitors Bureau, local companies seeking intern lodging (Aurora Health, Bemis Corporation, Oshkosh Corporation, etc.), Fox Valley Technical College, Central Boarding Academy, EAA Headquarters, American Legion Auxiliary Badger Girls State, and Special Olympics of Wisconsin.
  • Create Residence Life Conference Services in-print and online marketing and promotional materials.

Residence Life Operations & Facilities (15%)

  • In conjunction with the Associate Director of Residence Life, work closely with Facilities Management to ensure effective custodial and maintenance services to residence hall facilities: cleaning and maintenance schedules; elevator, pest control, and waste management services; and departmental inventory of furnishings, equipment, and supplies.
  • Assist with the oversight of departmental key security and the maintenance of accurate key inventories.
  • In close partnership with Campus Postal Services, advance systems and processes to effectively manage the high volume of resident mail and packages.
Qualifications  
Required:
  • Bachelor’s degree
  • Demonstrated proficiency in event planning and implementation
  • Strong communication skills (interpersonal, written, and verbal)
  • Customer service experience with a diverse population
  • Collaborative work within a team as well as among units and organizations
  • Commitment to equity, diversity, and inclusion.
Preferred:
  • Post-undergraduate work experience in Residence Life
  • Previous experience in supervising student employees
  • Managing lodging for summer camps and conferences
  • Conference Planner software (i.e., Seattle Technology)
  • Resident Management software (i.e., StarRez)
