Position Summary:

The Program Coordinator plans, schedules, documents, and supports short-term group visits/events in accordance with established policies and procedures to meet customer needs and ensure compliance with institutional policies. The incumbent reports to the OIE Director and performs duties on site at the Oshkosh campus. Additionally, the incumbent is responsible for all administrative and support tasks associated with the coordination of these events. The position is hourly and part-time; the number of hours per week fluctuates and can reach full-time levels, and may including evenings and weekends, when the groups are in Wisconsin.

  • Communicates with customers to determine event details and requirements, evaluates requests, recommends service plans and pricing, and provides status updates;
  • Schedules logistics and secures resources for all aspects of events including space, vendors, and staff; coordinates details and resolves operational issues;
  • Monitors and processes event-related transactions and event data and records;
  • Greets clients/guests, assists with registration, answers questions, and refers complex issues to appropriate entities;
  • Assists with planning and the creation of promotional materials and resources.
  • Bachelor's degree;
  • Ability to develop and implement group programs;
  • Excellent verbal and written skills;
  • Excellent listening and interpersonal skills;
  • Ability to interact diplomatically with a diverse group of individuals, to develop rapport quickly and to communicate clearly and effectively with non-native speakers of English, all in a service-oriented environment;
  • Demonstrated commitment to diversity, equity, and inclusion;
  • Initiative and ability to work independently;
  • Ability to organize and prioritize multiple tasks, performing successfully and with composure;
  • Ability to independently address & solve complex issues through teamwork and consultation;
  • Ability to drive continuous improvement;
  • Ability to work within a given budget;
  • Commitment to record-keeping, documentation and data management;
  • Intermediate or Advanced proficiency in Word; ability to learn additional software packages as required.
  • Experience successfully communicating with non-native speakers of English;
  • Experience teaching, living or studying abroad;
  • Proficiency in at least one second language which is not a native language (this may be English);
  • Experience serving culturally and linguistically diverse students.
