Position Summary:

This position is responsible for the overall building and event support of Reeve Memorial Union and Blackhawk Commons. This position works collaboratively with Reservations, Audiovisual/IT, University Dining, Custodial Services and supervises a team of student employees. Primary work shift is 7:45 am – 4:30 pm, Monday – Friday. Some evening and weekend hours may be required. This position has 24-hour responsibility to respond to the needs of the operation and reports to the Associate Director for Operations. Oversees customer services and/or retail programs and operations including the implementation of operational procedures and proper staffing to ensure effective customer service and achievement of overall unit goals.

  • Directs and audits customer services to ensure customer service objectives are met
  • Implements operational procedures, methods, and policies to achieve established goals, meet compliance requirements, and ensure effective service
  • Develops and schedules unit operational work plans
  • Provides operational and strategic guidance to staff
  • Identifies, develops, and facilitates staff training opportunities
  • Create and monitor the unit operating budget and approve expenditures

Position tasks:

25%  Building and General Maintenance

  • Serve as department liaison with Custodial Services to:
    • ensure comprehensive building maintenance and cleaning schedule.
    • communicate staffing needs, cleaning and general maintenance methods and materials, planning for daily, routine, deep and periodic tasks.
    • communicate regularly and address issues, questions, and concerns.
  • Routinely inspect buildings to determine custodial and maintenance needs.
  • Work with University Dining to ensure custodial care is provided as outlined in the contract.
  • Evaluate reported issues and process work orders for special custodial needs, equipment parts/repair, minor facility repair, and grounds work.
  • Develop and maintain building equipment inventory and reference manuals.
  • Monitor, review and work within limits of departmental budget when ordering supplies or requesting services.
  • Direct and oversee the procurement of janitorial equipment and supplies; maintain supply inventories.
  • Work with supervisor on the development of appropriate portions of the Reeve Memorial Union and Blackhawk Commons budgets.

20%  Supervision

  • Interview, hire, train and evaluate members for the Student Operations Team.
  • Provide daily supervision of staff by providing necessary resources for job success, verifying work, and addressing concerns.
  • Develop and foster work environment focused on teamwork, inclusivity, respect, and accountability.   
  • Create and maintain work schedules and assign work duties.
  • Maintain employee records including time reporting, attendance, disciplinary measures and performance reviews. 
  • Address concerns and counsel employees on unsatisfactory performance.

25%  Event Management and Support

  • Determine staffing requirements, event needs, and coordinate setup and support for routine and complex events and activities within Reeve Union and Blackhawk Commons.
  • Ensure timely and appropriate event set ups, tear downs, and clean ups utilizing building equipment, furniture, and resources. Verify for accurate completion.
  • Participate in meetings and coordinate with Reservations, Catering, Audiovisual and event sponsors to determine and ensure appropriate needs are met.
  • Maintain continual communication with Reservations, Audiovisual and supervisor to stay informed and meet unique or changing event needs.
  • Coordinate schedules of student operations team to meet facility and event set up needs.
  • Develop, communicate, and verify work for routine, periodic and event tasks. Fill in as needed to complete tasks.
  • Utilize reservation system to obtain reports, add/update reservations and verify inventory.
  • Serve as Building Staff as needed for large/special events.

20%  Building Operations & Customer Service  

  • Serve as contact/management representative to facility guests in a professional and positive manner.
  • Meet with customers utilizing meeting/event space to address any concerns with customer focused approach.
  • Communicate and enforce building, University and State policies.  Address safety concerns.
  • Assist in developing plans to purchase/relocate furniture, equipment and other facility resources to better meet needs of the organization and customers.
  • Coordinate vendor service/repair as needed utilizing University procedures.
  • Respond to emergencies: facilitate evacuation, communicate with emergency personnel and provide other necessary support.          

  5%  Workplace Health and Safety

  • Serve as department liaison with Risk and Safety to coordinate health and safety instruction, determine and provide personal protective equipment, review workplace health and safety expectations and verify required employee training was complete.
  • Investigate workplace accidents in a timely manner and complete necessary reports.  
  • Assist in planning for and addressing emergencies, support emergency personnel.
  • Follow and enforce health and safety rules; attend safety meetings and training sessions when requested.

5%    Miscellaneous

  • Promote teamwork and efficiency.
  • Actively participate in daily operation of Reeve Union and Blackhawk Commons.
  • Facilitate staff development through training and career related opportunities.
  • Participate in the development of facility related building policies and procedures.
  • Participate in department trainings, retreats and meetings that support the mission of Reeve Union and University Dining; participate in University committees as time permits.
  • Work cooperatively with other campus custodial, event, maintenance, and safety personnel.
  • Other duties as assigned.


  1. Demonstrated commitment to diversity, equity, and inclusion
  2. Bachelor’s degree from an accredited university
  3. Awareness of functions related to managing operations of multi-use facility
  4. Basic knowledge of budget development, management, and procurement
  5. Effective customer service skills
  6. Clear and concise written and verbal communication to disseminate information in meetings, reports, procedure resources, and correspondence
  7. Perform tasks requiring climbing, reaching, standing, lifting (up to 50 lbs), bending, stooping, kneeling, and walking considerable distances with or without reasonable accommodation
  8. Must have or be able to obtain a valid Wisconsin driver license 
  1. Supervision experience
  2. Three years experience in operations and/or conference/event management services
  3. Demonstrated experience organizing and managing multiple tasks and responsibilities simultaneously
  4. Experience with budget development, management, and procurement
  5. Knowledge and experience with furniture and equipment used to support facility operations, meetings and special events
  6. Knowledge of emergency procedures, occupational hazards, safety concerns and procedures to mitigate harm
  7. Experience with event management software
  8. Basic knowledge of recordkeeping and inventory practices and procedures
